How Teloform handles information collected through this website.

What this notice covers

This notice applies to teloform.com and to the benchmark request form on it. It describes information Teloform collects as the controller of that information, meaning we decide why it is held and what is done with it.

It does not cover matter data. Documents, records, and any other material provided inside a benchmark engagement are governed by the engagement agreement signed with the firm and held under the controls described on our security page. No matter data is collected through this website, and none should be sent to it.

Information you give us

The benchmark request form asks for the following, and nothing else:

  • Your name, your firm or organization, and your work email address
  • Your role, and the jurisdiction you practise in
  • The type of matter, whether it is closed or active, and the type of proceeding
  • Approximate document volume, and whether the matter includes schedule files or expert reports
  • The next major event in the matter and its date, if you choose to give one
  • A free text description of what would make a benchmark engagement useful
  • Your preferred method of contact

The form asks you not to upload client materials, and it accepts no file uploads. If you include confidential or privileged content in the free text field it reaches our inbox as ordinary email, so please do not put it there.

If you write to an address published on this site, we receive whatever that message contains.

Information collected automatically

Our host records standard server logs when a page is requested, including IP address, user agent, the page requested, and a timestamp. These are used to operate and secure the site.

The site sets no advertising cookies and no tracking cookies of its own. Product analytics stay off unless you accept them. Your choice is stored in your own browser under the key teloform.analytics-consent, nothing is recorded before you choose, and declining is remembered so you are not asked again.

There is no session recording, no heatmapping, and no cross-site tracking. Fonts are served from this domain rather than a third party, so viewing a page does not disclose your visit to a font provider.

Why we hold it, and on what basis

  • To assess conflicts and whether a matter is suitable for a benchmark engagement. This is necessary to take steps at your request before entering a contract.
  • To reply to you and to arrange a demonstration or an engagement.
  • To keep the site secure and operating correctly, which is our legitimate interest in running it.
  • To meet legal or professional obligations where they apply.

We do not sell information, we do not share it for advertising, and we do not use anything submitted through this website to train any model.

Who else receives it

We use a small number of service providers who process information on our instructions and for no purpose of their own:

  • Vercel. Website hosting, content delivery, and server logs. Processing takes place in United States and global edge network.
  • Resend. Delivers the benchmark request form to our inbox. Processing takes place in United States.
  • Mailgun. Receives email sent to our published addresses. Processing takes place in United States.

Because these providers operate outside Canada, information submitted through this site may be stored or accessed in another country and may be subject to lawful access requests there. We otherwise disclose information only where the law requires it.

How long it is kept

Enquiries that do not lead to an engagement are kept for up to twenty four months so that we can recognise a returning firm and check conflicts, then deleted. Enquiries that do lead to an engagement are retained for the life of that engagement and for as long afterwards as professional and legal obligations require.

Server logs are kept for a short operational period and then discarded.

Security

The site is served over TLS. Form submissions travel to our inbox over an encrypted connection, access to that inbox is limited to those who need it, and the site holds no database of visitors.

No system is perfectly secure, and we do not claim certifications we have not obtained. What we can state is what the architecture does, which is set out on the security page.

Your rights

You can ask for a copy of the information we hold about you, ask us to correct it, ask us to delete it, or object to our holding it. Where you gave consent you can withdraw it at any time, and withdrawing it does not affect anything done beforehand.

Write to hello@teloform.com. We respond within the period the applicable law requires. If our response does not satisfy you, you may complain to your data protection authority, which in Canada is the Office of the Privacy Commissioner.

Children

This site is intended for legal and construction professionals. It is not directed at children and we do not knowingly collect information from them.

Changes

If this notice changes materially we update the effective date above and, where the change affects information already given to us, tell the people it affects. Continuing to use the site after a change means the updated notice applies.
